Terms of Service

Terms of Service

Effective 17 October 2026

These terms apply to orders placed with Hostbip for email and web hosting through our website or customer portal. Read the plan description, checkout summary and Privacy Policy before ordering. If you order for an organisation, you must have authority to act for it. You must be legally able to enter into the agreement.

Your account and domain

Provide accurate contact and billing information and keep it current. Protect your account, mailbox and hosting credentials, use available security controls, and tell support promptly about suspected unauthorised access. Authorise only people who may manage your services.

You must own, control or have permission to use the domain supplied with an order. Buying email or hosting does not register or transfer that domain. Domain registration and transfers require a separate order. You remain responsible for maintaining your domain registration and applying the DNS records needed for your service.

Plans, prices and payment

Checkout identifies the selected service, number of mailbox licences or hosting accounts, billing duration, currency, initial price, any setup fee, tax and available renewal price. Email prices are per licensed mailbox for the complete stated term. Hosting prices are for the selected account and term. Review the total before confirming; a monthly unit rate must not be mistaken for an annual total.

Pay through an available payment method shown by Hostbip. Account credit is usable only in its recorded currency. We do not treat a browser payment message as proof of settlement. A successful payment must be verified before paid provisioning begins. Do not make a second payment while the first is pending; use the order status or contact support.

A payment authorises delivery of the ordered service. It does not itself confirm activation. Provisioning may require a separate infrastructure or email platform to complete its work. The portal distinguishes pending delivery from an active service. If delivery is delayed or uncertain, contact support with the order or invoice number. We will investigate and resolve delivery or the associated payment as appropriate, subject to your applicable rights.

Use of the service

Use services lawfully and within the purchased plan's limits. Do not send spam, distribute malware, conduct phishing or fraud, infringe others' rights, attempt unauthorised access, or disrupt infrastructure. You are responsible for the content you upload, store or send and for obtaining any permission needed to process other people's information.

We may restrict access where reasonably necessary to address abuse, a security incident, legal obligations or an unpaid service. Contact support to resolve a restriction. A suspension does not establish that your data has been safely backed up.

Mailboxes, hosting tools and backups

Mailbox administration and hosting tools may open a separate control panel. Available features depend on the purchased plan and the underlying platform. Hostbip may create and maintain the platform account needed to deliver your service using the contact details described in our Privacy Policy.

Keep independent copies of important messages, website files and databases. A backup tool being visible does not promise that a particular backup exists, is current or can be restored. Confirm the plan's backup provision and recovery options before relying on them. Migration requires access to the source and destination and may take time; check the result before removing the source service.

Renewals and changes

Your service page shows the recorded billing period and paid-through or renewal date. Review a fresh renewal quote for current prices and tax. Changes or renewals that require payment are delivered only after verified payment and platform confirmation. New published prices do not rewrite an accepted invoice or a term already paid for.

Reducing mailbox licences does not create an automatic refund for the current term. Keep sufficient licences for existing mailboxes. A plan change may have a prorated charge, which must be shown before acceptance. A renewal extends the service only once confirmed; an unpaid invoice does not extend the paid-through date.

Cancellation, refunds and support

Review the effective date and consequences shown when cancelling. Immediate cancellation may remove access and data; export what you need first. A scheduled cancellation takes effect at the displayed time. Hosting cancellation requests may require staff confirmation. Cancellation does not automatically refund a payment.

For billing errors, failed delivery, refund requests, service problems or a complaint, use Support tickets in the customer portal, or the Contact page on our website if you cannot sign in. Include the relevant service, order or invoice number, but never send passwords or full payment-card details. We will review the request against the order, delivery record and applicable law. Nothing in these terms removes mandatory consumer, refund or data-protection rights.

Availability and updates

Maintenance, platform faults, network conditions and DNS propagation can affect access. Only an express commitment included with the purchased plan establishes a particular service level. These terms do not create an additional uptime or delivery guarantee.

Published versions remain available in our Legal centre. A later version applies to a later order or acceptance as indicated there; it does not silently replace the version recorded with an existing order. Questions about these terms can be raised through the support channels above.
